Automated payment reminder calls (IVR) for Indian businesses
Some customers ignore messages but pick up the phone. An automated reminder call reaches them in Hindi or English, takes their answer on the keypad, and saves your staff hours of dialling.
How a reminder call works
- The call greets the customer by your business name and states the amount due.
- The customer chooses: press 1 to get a payment link, press 2 to promise a payment date, or press 3 to speak to your staff.
- Their answer is saved against the customer, so the next reminder knows about the promise.
Calling hours and limits
- Call only in the daytime. Early-morning and late-night calls feel like harassment, whatever the reason.
- Limit how often you call the same customer in a week.
- Stop calling when the customer promises a date, disputes the bill or asks you to stop.
- Never threaten, and never discuss the debt with anyone other than the customer.
Recording and privacy
If you record reminder calls, tell customers at the start that the call may be recorded, keep recordings only as long as you need them, and limit who can listen. India’s Digital Personal Data Protection Act, 2023 applies to recordings like any other personal data.
What you need
- An account with a calling provider such as Exotel, Plivo or Twilio, paid directly to them.
- Phone numbers of customers who have agreed to be contacted about their account.
- A clear message: who is calling, the amount, and how to pay or respond.

Common questions
What is an IVR payment reminder call?
An automated call that tells a customer how much is due and lets them respond with the keypad, for example press 1 to receive a payment link or press 2 to promise a payment date.
What time should payment reminder calls be made?
Stick to daytime hours on working days. Munshiji’s default window is 9 am to 9 pm IST and you can narrow it; for dues, daytime hours such as 9 am to 7 pm, Monday to Saturday, are a sensible choice.
Do I need a special phone number?
You need an account with a calling provider such as Exotel, Plivo or Twilio. The provider handles number registration under TRAI rules; ask them which number type suits reminder calls to your own customers.
